Terms and conditions of business

Thank you for entrusting the care and attention of your pet to Burch Tree Vets. This letter details our Practice Terms and Conditions. Some aspects of the Terms may not be relevant to you and we request that you ask for further explanation/clarification if required.

Terms and conditions are subject to change at any time.

Engaging the services of Burch Tree Vets is deemed as acceptance of the terms and conditions.

All fees, diets and drug charges are subject to VAT at the current rate and are payable at the time of purchase. Fee levels are determined by the time spent on a case and according to the drugs, materials, consumables and diets used. You will receive a detailed fee note for every consultation, surgical procedure or transaction with us. No drugs or food will be dispensed without payment.

Appointments, and failure to keep them.
We operate an appointment system at some of our branches.

We would ask clients to cancel any appointments which they are unable to attend at least an hour before the attending time (operations, at least the day before).

Where appointments are made, and clients fail to keep them, we reserve the right to charge a full consultation fee for the appointment. Similarly, if clients fail to keep appointments made for surgical procedures, we reserve the right to charge a cancellation fee for the lost appointment.

Methods of Payment
Accounts are due for settlement at the end of the consultation, the discharge of your pet or upon collection of drugs/diets. You may settle the account using:
Cheque with valid bankers card
Credit/Debit Card - Switch, Solo, MasterCard, Visa, Delta (No American Express)

Estimates of Treatment Costs

We will happily provide a written estimate as to the probable costs of a course of treatment. Please bear in mind that any estimate given can only be approximate - often a pet's illness will not follow a conventional course.

Settlement Terms
Settlement is at the time of consultation.

If you are not able to settle an account at the time of consultation, then a handling fee of 15% will be added to the outstanding amount. This will be removed if payment is made withing 7 days of the creation of the outstanding amount. Partial payment within 7 days will reduce this handling fee by a proportionate amount.

Should an account not be settled then an invoice would be sent with an additional accounting fee in respect of administrative costs. This will be followed by a reminder, with additional handling and administrative charges.

All appointments will be charged for unless an hours notice is given of cancellation. It is at the vet's discretion not to charge for a consultation.

After due notice to you the client, overdue amounts will be referred to the county court and further charges will be levied in respect of costs incurred in collecting the debt. Any cheque returned by our Bank as unpaid, any Credit Card payment not honored and any Cash tendered that is found to be counterfeit will result in the original account being restored to the original sum with further charges added in respect of bank charges and administrative costs, together with interest on the principal sum.

If you have any query regarding the account, please contact us within 7 days of receipt of the invoice. We reserve the right to withhold veterinary services from persistently slow payers and bad debtors and will give notice of this in writing.

We will issue reminders for vaccinations when provided with the correct information by the client. We however do not take responsibility for any errors or omissions and it is the clients responsibility to ensure vaccinations are kept up to date.

Pet Health Insurance
We at Burch Tree Vets strongly support the principle of insuring your pet against unexpected illness or accidents. Please ask for details about insurance from any member of staff. Please be aware that it is your responsibility to settle your account and then reclaim the fees from your insurance company.

Complaints and Standards
We hope that you never have recourse to complain about the standards of service received from Burch Tree Vets. However, if you feel there is something you wish to complain about, please direct your comments in the first instance to the director Mr Burch, in writing.

If you are still not happy with the response, then you have recourse to complain to the Royal College of Veterinary Surgeons, goto Making a complaint to the RCVS for details.

Ownership of Radiographs and Similar Records
The care given to your animal may involve making some specific investigations, for example taking radiographs or performing ultrasound scans, even though we make a charge for carrying out these investigations and interpreting their results, ownership of the resulting record, for example a radiograph, remains with the practice. Case records remain the property of the practice. Copies with a summary of the history will be passed on request to another veterinary surgeon taking over the case.

Prescriptions and repeat prescriptions or medication
Prescriptions are available from this Practice.  You may obtain Prescription Only Medicines, category V (POM Vs) from your veterinary surgeon OR ask for a prescription to obtain these medicines from another veterinary surgeon or a Pharmacy.

Your veterinary surgeon may prescribe POM Vs only for animals under his or her care.  A prescription may not be appropriate if your animal is an in-patient or immediate treatment is necessary.  You will be informed, on request, of the price of any medicine that may be prescribed for your animal.

The general policy of this Practice is to re-assess an animal requiring repeat prescritions every 3 months, but this may vary with individual circumstances.  The standard charge for a re-examination is a prescription consultation fee.

Client acceptance and termination
We reserve the right to decline to accept you as a client for any reason without explanation.

We reserve the right to terminate our relationship with you at any time for any reason without explanation. You will be informed in writing.

Our staff have the right to work in a safe environment. Any form of abuse or threatening behaviour is grounds for immediate termination of our relationship, and may lead to legal proceedings against the instigator.

No addition or variation of these conditions will bind the practice unless it is specifically agreed in writing and signed by one of the partners. No agent or person employed by, or under contract with, the practice has the authority to alter or vary these conditions in any way.
